Session Recordings & Exiting the Yo! Zone: Your Guide to Smooth Endings

[MANDATORY PLATFORM STANDARD]

Every session you conduct on Yo! is automatically recorded (audio and video!) to ensure quality, security, and a great learning environment for everyone. These session recordings are a super important additional learning resource for yosers, who use them for revision, progress tracking, listening practice, and more. That’s why ensuring the recording is complete and accurate is vital!

Understanding how these recordings work and how to properly exit the Yo! Zone is key to making sure nothing gets lost and everything is safe and sound!

  1. Getting Recorded: The Basics

  • Always On: Our system records audio and video in "chunks" and uploads them in real-time while your session is happening.

  • For a Full Recording: A recording is only active when one the tutor and the yoser are present in the room (and at least one of you has audio or video active). For us to capture both audio and video of everyone, you must always have your audio and video active, except that you may turn off video if the yoser so requests. Yosers can decide if they want to share video or not.

  • Protecting Your Record: If you close your browser suddenly without following the proper exit steps, the last few seconds of recording data might not be fully uploaded. That's why following our exit instructions is key!

  1. Understanding Your Exit Buttons: "Leave" vs. "End Lesson"

The Yo! Zone has two distinct buttons for exiting a session, and knowing the difference is super important:

  • The "Leave" Button:

    • Where to find it: You'll see a prominent red hang-up icon (like a phone receiver) at the top right corner of the Yo! Zone screen. This is the button to leave the session.

    • What it does: This button allows you to exit the session, but it does NOT end the session for the yoser (if they are still present). It also ensures that all remaining recording data is securely uploaded before you leave the room. After using ‘Leave’, you can reconnect to the session if needed from the exit page or the “Enter Yo! Zone” button on your dashboard. If you return to a session after leaving, and it's still ongoing with the yoser present (with at least audio or video activated by either of you, which you must always have both, the only exception being the yoser's request that you don't share your video), the recording will resume from that point.

    • Visual Check: After using 'Leave', you'll often see an "Uploading Recording" message in the center of your screen. It'll show for up to 5 seconds only.

  • The "End Lesson" Button:

    • Where to find it: This is typically a blue button in the right sidebar (under the "Tools" tab). During the 2-minute grace period, you'll also see an 'End Lesson' button within a special red bar at the top of your screen.

    • What it does: This button immediately ends the session for everyone – both you and the yoser. Once you use it, you cannot reconnect to that session.

    • Visual Check: After using 'End Lesson', an "Uploading Recording" message (with progress) appears in the right sidebar (under the "Tools" tab). It'll show for up to 5 seconds only.

    • When to use it: This button is designed as a critical safety tool and must be used ONLY in very severe security situations, such as highly inappropriate yoser behavior. (For full details, please check our The 'End Lesson' Button: A Critical Safety Tool policy).

  1. The 2-Minute Grace Period: For Smooth Goodbyes

There's a neat 2-minute grace period after the official 25 or 50-minute session ends. This is extra time designed to help you wrap up conversations naturally and say a proper goodbye without an abrupt interruption. The Yo! Zone clearly indicates when the official session time is over and shows a separate 2-minute countdown timer. (For more details on this, you can check our Your Yo! Schedule: Slots, Sessions & Statuses policy).

  1. How to Exit the Yo! Zone: Your Crucial Instructions

To ensure your session recordings are always complete and available for yosers (which is important for their learning!), and to maintain a professional flow, please follow these instructions for exiting the Yo! Zone:

  • Normal Exit (After the Session Officially Ends):

    • You must only exit the Yo! Zone after the official session time has fully ended (25 or 50 minutes). At this point, you will be in the 2-minute grace period. If you wish to exit at this moment before the session automatic ends, you must use the 'Leave' button to ensure the recording is fully uploaded.

    • Once the session has officially ended automatically (after the 2-minute grace period, reaching 27 or 52 minutes total) and the "Uploading Recording" message has disappeared (it'll show for up to 5 seconds only.), you can safely close your browser tab.

  • Emergency Exit (Before Official End or During Grace Period, Before Auto-Termination):

    • If you need to leave the Yo! Zone early due to an emergency (before the official session time ends or during the 2-minute grace period, before it automatically terminates), you must use the 'Leave' button.

    • Crucial Warning: Even if the 'End Lesson' button appears on your screen (as seen in the red bar during the grace period), you must NEVER use the 'End Lesson' button unless it is for a severe security situation as detailed in our The 'End Lesson' Button: A Critical Safety Tool policy. For all other early exits, always use the 'Leave' button.

    • Using the 'Leave' button ensures that all remaining recording data is securely uploaded. This is vital for your own protection as it preserves the full session record, providing proof in case you ever need it for a complaint or issue.

It's really important to follow these guidelines, as not doing so represents a procedural violation of our platform standards. This impacts the integrity of session recordings and affects overall security. Be aware that such violations may lead to a Formal Notice being issued to your account. For more information on Formal Notices and their implications, please check our Account Review & Platform Standards Enforcement policy.

We're counting on you to follow these steps to help keep our platform safe, reliable, and ensure every awesome moment of your sessions is captured for yosers!
