Your Yo! Schedule: Understanding Slots & Bookings

[PLATFORM GUIDE]

Your schedule on Yo! is super important – it's where you tell yosers when you're available for awesome conversations! Understanding how it all works is key to rocking your time on the platform. Let's dive in!

1. Your Schedule at a Glance: Slots & Sessions

Your schedule always shows you the current day and the next 7 days ahead, giving you a full week-long overview. This means you can edit your availability up to 7 days in advance, and yosers can book sessions with you for this same period.

  • Session Lengths: Sessions on Yo! can be either 25 minutes or 50 minutes long.

    • A 25-minute session takes up just one slot on your schedule.

    • A 50-minute session takes up two consecutive slots on your schedule.

  • Booking 50-Minute Sessions: To make sure a yoser can book a 50-minute session with you, you'll need to have two consecutive slots available on your schedule.

    • 50-Minute Sessions - One Slot View: When a 50-minute session is booked, even though it uses two slots on your schedule, you'll only see one slot for that session on your schedule. We merge the two slots for easier viewing. For example, if you had slots open at 9:30 am and 10:00 am, and a yoser books a 50-minute session, the session will be shown on your schedule in the 9:30 am slot. The next visible slot will then be at 10:30 am. If the session is canceled, both slots become visible again.

  • Payment & Cancellations: You get paid for every slot you successfully conduct. So, a 25-minute session equals one paid slot, and a 50-minute session equals two paid slots. When it comes to cancellations, each booking counts as a single session for cancellation purposes, regardless of its length.

❗️ Important: please note that you will not be notified if a slot is booked, so make sure to occasionally refresh the Schedule page to check for any new bookings.

Smooth Endings: The 2-Minute Grace Period

  • To help you wrap up conversations naturally and say a proper goodbye without an abrupt interruption, every session (whether 25 or 50 minutes) has a 2-minute grace period after its official end time.

  • The Yo! Zone will clearly indicate when the official session time is over and will show a separate 2-minute countdown timer before automatically ending the session.

  • Important: These 2 minutes are not part of the official session duration, and you're not obligated to use them. All rules related to session length (like minimum connection time for payment) consider only the official 25 or 50 minutes. This grace period is simply a cool feature designed for extra comfort for both you and the yoser!

  • If you wish to exit the Yo! Zone during this 2-minute grace period (before the session automatically ends), you must use the 'Leave' button. This ensures that the session recording is fully uploaded. For more details on why it's crucial to use the 'Leave' button for proper exits, check out our Session Recordings & Exiting the Yo! Zone: Your Guide to Smooth Endings policy.

2. All About Booking & Yoser Flexibility

We want yosers to have flexibility, and that means some cool stuff for your schedule. Plus, we've thought about your convenience too!

  • Last-Minute Bookings: Yosers can book sessions with you up to 15 minutes before the session is set to start. This means you can open slots up until 15 minutes beforehand for them to be booked by yosers.

    • Heads-up for Nopes! If you're planning to open last-minute slots, make sure to do it with enough time for a yoser to actually find and book it before the 15-minute cutoff.

  • Consecutive Sessions: Yosers can book several sessions in a row with the same tutor – no limits there!

  • Editing Preferences: Yosers can also edit their session preferences (like topic, speaking speed, or correction style) up to 15 minutes before the session begins. Make sure to always check these details before you start!

    • Accessing The Session Page. Check the yoser's booking preferences on the session page, by clicking on the session status right on your schedule or on the “There's A Session Coming Up!” card in the sidebar.

  • Late Cancellation Protection: To add convenience for you, our Late Cancellation Rule means that if a yoser cancels a session less than 1 hour (but more than 30 minutes) before the start time, and no one else books that slot (or the first of two slots for a 50-min session), you'll receive a guaranteed $1.00 USD fee!

3. Your Yo! Zone Link: Ready When You Are!

The Yo! Zone is where the magic happens – your virtual session space! Here’s how your session link works:

  • Link Generation: When a session is booked, a card for that booking appears on your dashboard, containing an access button to the Yo! Zone. This button for accessing the Yo! Zone automatically activates starting from 15 minutes before the session's scheduled start time. Before this 15-minute mark, the button will be inactive.

  • Cancellations & Access: If a yoser cancels a session before this 15-minute window, the link to the Yo! Zone won't even be generated. But, if they cancel after the link has been generated, your access to that specific Yo! Zone link won't be removed – it stays available for you.

  • Always Available: Once your Yo! Zone link is generated for a session, it remains available to you forever! You can always revisit it. After a session ends, you can actually access this very same Yo! Zone to watch the session recording, just like your yoser can!

❗️ Important: do not share the Yo! Zone link with third parties. Only you are allowed to use Yo! Zones generated in connection with your account. This goes against our rules and is a violation of your agreements.

Yoser Cancellations: What Happens to Your Schedule?

We know that yoser cancellations can impact your schedule. Here's a quick breakdown of what happens in each scenario:

  • Yoser Cancels More Than 1 Hour Before: If a yoser cancels a session more than 1 hour before its scheduled start time, the slot(s) on your schedule will change from "Booked" back to "Yep", making them available for other yosers to book.

  • Yoser Cancels Between 1 Hour and 30 Minutes Before (Late Cancellation): If a yoser cancels between 1 hour and 30 minutes before the session start time, the slot(s) will also change from "Booked" to "Yep". Plus, as mentioned in our Late Cancellation Rule, you'll receive a $1.00 USD fee if the slot isn't rebooked (or the first slot of a 50-minute session).

  • Yoser Cancels Less Than 30 Minutes Before: If a yoser cancels a session with less than 30 minutes' notice, the slot(s) will change from "Booked" to "No-show". You will be paid for the canceled session!

  • Full Payment for Yoser No-Show: If a yoser does not show up within the first 10 minutes, the session is marked as a No-Show and you are paid the full amount for the slot(s). You are required to wait in the Yo! Zone for these 10 minutes for the system to register the absence correctly. This also applies if a yoser joins but then remains disconnected for 10 consecutive minutes.
